(C) Implementation.
(1) Scheduling. In addition to the other
activities provided for in policy or through normal operational procedures of
the university, the university scheduling office shall be responsible for the
scheduling of all areas of the Kent student center, Risman plaza, and student
green.
(a) Students, staff, faculty or third
parties intending to reserve one of the areas of the Kent student center,
Risman plaza, and student green should contact the university scheduling office
before committing any resources to the event to ensure both availability of the
space and that the appropriate procedures are followed.
(b) The university scheduling office is
responsible for developing, implementing, posting, and revising when necessary
policies and procedures for reserving available areas of the Kent student
center, Risman plaza, and student green. Such policies must be posted
publically on the university scheduling office website or otherwise made
immediately available to a requesting party.
(c) All requests for use of any area of the
Kent student center, Risman plaza, and/or student green beyond normal Kent
student center operating hours must be approved by the university scheduling
office before the event is confirmed. The university scheduling office is
responsible for any procedures related to the application and approval of
events scheduled beyond normal building operating hours and any fees or charges
as necessary to ensure the safe, secure, and orderly operation of the facility,
or area, during those events.
(2) Sales and solicitation. Student
organizations and university departments participating in activities scheduled
in the Kent student center, Risman plaza, and/or student green involving sales
and solicitation must apply for and secure, in advance, a university sales and
solicitation permit. Sales and solicitation activities are not permitted in the
Kent student center, Risman plaza, and/or student green unless a university
sales and solicitation permit has been approved by the university scheduling
office.
(a) The university scheduling office
is responsible for developing, implementing, posting, and reviewing, when
necessary, policies and procedures for the application, consideration, and
disposition of the university sales and solicitation permit.
(b) Such policies will not conflict with the
following requirements:
(i) Once approved, the
sales and solicitation permit must be displayed at the site of the event at all
times.
(ii) All sales and
solicitation must be conducted from behind a reserved table or
display.
(iii) Student
organizations and university departments engaging the services of an outside
vendor must ensure that the vendor remits the fees assessed to third parties
for facility rental, sponsorship and/or setup fees, and that each vendor
obtains and displays a state of Ohio vendor's license in addition to the
university sales and solicitation permit.
