Section 8 CCR 1402-1-2.420 - RECORD RETENTION

A. The following records must be on file at the resident camp:

1. Records of enrollment for the past twelve (12) months must be on file at the resident camp, either in paper or electronic form. The previous two (2) years must be on file at either the resident camp, a central location, or storage.

2. A record of visitors to the camp for the past twelve (12) months must be on file at the resident camp, either in paper or electronic form. The previous two (2) years must be on file at either the resident camp, a central location, or storage.

B. The camper's file must be maintained by the resident camp for at least three (3) years after the camper's last day of attendance at the resident camp and must be available without restriction to the Department.

C. Staff and volunteer records must be maintained by the resident camp for at least three (3) years after the last day of employment at the resident camp and must be available without restriction to the Department.

D. The resident camp must submit to the Department as soon as possible, but not longer than twenty-four (24) hours, a written report about any camper who has been separated from the group outside of the supervision of their assigned staff member and for whom the local authorities have been contacted. Such report must indicate:

1. The name, birth date, address, and telephone number of the camper;

2. The names of the parent(s)/guardian(s) and their address and telephone number if different from those of the camper;

3. The date when the camper was separated from the group outside of their assigned staff member;

4. The location, time, and circumstances when the camper was separated from the group outside of their assigned staff member;

5. All actions taken to locate the camper, including when local authorities were notified; and

6. The name of the staff person supervising the camper.
